The Executive Director will serve as a liaison between the Board of Directors and the Shelter. The E.D. will be responsible for upholding the mission statement and consulting the Board of Directors when decisions need to be made for the organization. Communication between the E.D. and the Board is of utmost importance. Building a working relationship with the Board by working on Board Committees.

The Executive Director is responsible for fundraising activities, seeking individual and corporate solicitation, event planning, and researching and preparing grants. The position reports directly to the Board of Directors.

The successful candidate will have strong Fundraising Experience, Strong Management Skills, Communication Skills, which include outreach to the community, and a proven track record for researching and preparing grants.

Qualifications

  • Strong organizational abilities including planning, organizational skills, prioritizing, delegating, task facilitation, and team building.
  • Strong, hands-on budget development, including budget preparation, analysis, decision-making and reporting.
  • Ability to engage with diverse volunteers, community groups, and donors.
  • Network and attend community events.
  • Strong aptitude for verbal and written communication, including TV and Media presentations.
  • Knowledge of fundraising strategies unique to the nonprofit sector.
  • Ability to solve practical problems and deal with a variety of sensitive and stressful situations.
  • Ability to use sound judgment regarding safety and care of animals, customers, staff and volunteers.
  • Ability to search for and write grants.

Education and Experience

  • Bachelor’s degree in Business Administration, Nonprofit Administration, Communications, or related field or equivalent years of experience.
  • Experience with marketing and public relations preferred.
  • Highly Proficient Computer Skills.
  • Excellent written and oral communication skills.

Reports to: Kennel Leader, Secondary report to Operations Director

Function: Responsible for daily cleaning and sanitation of shelter facilities, including animal enclosures and public areas, feeding, care, medical and behavior observation, and the overall physical and mental well-being of shelter animals.

Salary Level: Part-time hourly

Summary of Qualifications: A High School Diploma

Summary of Duties and Responsibilities:

Animal Care:

  • Perform daily cleaning and sanitizing of shelter areas, kennels, cages, yard and public areas following cleaning & disease control protocol, including spot cleaning throughout the day
  • Feed, water, and provide daily exercise and enrichment to shelter animals in a safe and effective manner, by accurately following care instructions
  • Display appropriate animal care signage and interpret information to volunteers, fosters, and public
  • Promptly move animals (adoption, isolation, quarantine, etc.) as instructed
  • Transport animals to offsite appointments and events
  • Keep supervisor informed of animal behavior, health, or other concerns
  • Keep accurate daily logbooks and animal medical records
  • Perform other duties and special projects as assigned
  • Understand and follow oral and written instructions including procedures for care and maintenance of animals, exhibit, service and holding spaces
  • Able to endure high risk situations when feeding, transferring or restraining animals
  • Able to exhibit patience when caring for animals

Facility Care:

  • Do laundry, dishes, and other cleaning throughout the day
  • Stock all areas and spot-cleans kennels and public areas throughout the day
  • Assist with effective inventory control, put donations and deliveries away promptly
  • Ensure that the cleaning and sanitation of the shelter facility is completed on an on-going basis

Reports to: Shelter Manager, Indirectly reports to the Executive Director

Function: The Volunteer Coordinator is responsible for overseeing volunteer activities within the Humane Society of Cambria County, as well as the planning and execution of the volunteer program. The Volunteer Coordinator is also responsible for assisting with adoption events within our community.

Salary Level: Part-time hourly

Summary of Qualifications: Bachelor’s Degree, or equivalent job experience in Marketing and/or experience in managing a volunteer program.

Summary of Duties and Responsibilities:

Animal Care:

  • Be familiar with the animals in the shelter at any given time.
  • Teach volunteers the appropriate way to handle animals and demonstrate this process.
  • Educate all volunteers on protocols and procedures that may include but are not limited to: animal handling, cleaning, and communicating with the public.
  • Work closely with the Adoption Coordinator to choose animals to attend adoption, community, and fundraiser events.
  • Help arrange and orchestrate transportation of animals to offsite events.
  • Help ensure the proper care, cleaning, and sanitation of kennels, cages, and equipment in the dog and cat rooms when necessary.
  • Understand and follow all oral and written instructions including procedures for care and maintenance of animals
  • Exhibit patience when caring for animals

Volunteer Supervision:

  • Teach volunteers specific tasks that they may be involved in here at the shelter.
  • Update the volunteer communication board at minimum on a bi-weekly basis.
  • Oversee that volunteers are handling animals at the level in which they are qualified for.
  • Outline the lay out of the building including volunteer-permitted spaces as well as staff only access areas.
  • Ensure that volunteers are following all policies and procedures to the best of their ability.
  • Ensure that volunteers are representing the shelter in a professional manner at all times, and especially when out in the public as a liaison for the Humane Society of Cambria County.
  • Check in with new volunteers (30 days or less) to answer any questions they may have.
  • Report any volunteer issues to the proper level on the chain of command.

Volunteer Technology:

  • Become familiar and comfortable with the Volgistics software.
  • Ensure that volunteers are registered and able to use the Volgistics software.
  • Ensure that each volunteer utilizes VicNet to record hours while volunteering,
  • Keep Volgistics software current to allow volunteers to sign up where there is a need.
  • Impress upon volunteers the importance of utilizing the software.
  • Be the line of communication between Volgistics and the volunteers when they have a technology issue with the software.
  • Utilize the provided volunteer email address for all communications as the Humane Society of Cambria County Volunteer Coordinator.
  • Monitor the volunteer email inbox frequently and respond to all questions or communications of volunteers.

Community Events:

  • Help to plan and execute bi-monthly adoption events.
  • Implement quarterly volunteer drives.
  • Attend adoption, community, and fundraiser events.
  • Partner with local businesses and the community to ensure that the volunteer opportunity with the Humane Society of Cambria County is a thriving program.

General Responsibilities:

Reports to: Office Manager

Function: Responsible for handling daily tasks of the front desk including greeting the public, answering phones, updating records, filing paperwork, facilitating animal movements, and assisting with the cleaning and sanitizing of the lobby area of the facility..

Salary Level: Part-time hourly

Summary of Qualifications: A High School Diploma and/or 2 years of related customer service experience.

Summary of Duties and Responsibilities:

Reception Duties:

  • Greet and welcome guests by answering questions and addressing complaints
  • Keep a clean and tidy space in lobby
  • Answer all incoming calls and redirect them or take messages
  • Collect donations and offer a written receipt to all donors
  • Assist and complete all incoming and outgoing animal documentation forms including but not limited to animal control forms, animal surrender forms, adoption agreements, return to owner forms.
  • Schedule meet & greets for approved adopters.

Administrative Duties:

  • Prepare proper paperwork for movement of animals including in-take, adopt-out, transfer, veterinary release, etc.
  • Assist with spay & neuter refund process, quarterly dog reporting, and any other process requested
  • Coordinate with Volunteer Coordinator to correctly inform interested volunteers of orientations and classes as well as to assist current volunteers
  • Work with the Office Manager to process adoption applications.
  • Work with the Office Manager to schedule all potential adoptions.

Facility Care:

  • Keep the lobby and meet & greet rooms clean and tidy
  • Keep the lobby items stocked ie. pens, hand sanitizer, items for sale, sink supplies.
